Terms & Conditions

The following Terms & Conditions apply to all commissioned photoshoots.

These Terms & Conditions outline the agreement between you (the client) and Hannah Lunn Photography. By booking a session, you confirm that you’ve read and accepted these terms.

Making a Booking

1. Booking & Deposit

A non-refundable booking fee is required to secure your shoot date. Your date isn’t confirmed until this payment has been received.

If you need to reschedule, please give at least 7 days’ notice so we can find a new date that works. If less than 7 days’ notice is given, your booking fee will be forfeited and a new one will be required to rebook.

In the rare event that I need to reschedule due to illness or unforeseen circumstances, I’ll offer the next available date or a full refund if we can’t rearrange.

2. Cancellations & Refunds

Cancellations made more than 7 days before the shoot date may be transferred to a new booking.

Cancellations made less than 7 days before the shoot date will result in the loss of the booking fee.

If I need to cancel due to illness, emergency or something genuinely unavoidable, a full refund will be issued if we can’t reschedule.

I reserve the right to cancel a session immediately if I feel unsafe, disrespected or uncomfortable for any reason. In such cases, no refunds will be issued.

3. Creative Direction

Every photoshoot is approached with my own artistic style and creative judgement. While I aim to meet the brief and expectations discussed, creative direction and final editing decisions are at my discretion.

Please ensure you’re familiar with my style before booking. Requests for specific edits or styles outside of my usual approach must be agreed before the shoot and may incur additional costs.

Payments & Deadlines

4. Payment

The remaining balance is due within 14 days of image delivery, unless agreed otherwise. Late payments may incur an admin fee or interest charged at 5% per month after the due date.

Payments can be made by bank transfer. The booking fee will be deducted from your final invoice.

Ownership and usage rights for all images remain with Hannah Lunn Photography until full payment has been received. If full payment is not made, I reserve the right to use, withhold, or publish the images.

5. Delivery of Images

Edited images will be delivered digitally via an online gallery or file link. Turnaround times will be confirmed when booking and depend on the scale of the project.

Any additional editing beyond what’s included in your package (such as advanced retouching or background changes) will be quoted separately.

Once images are delivered, one round of reasonable amendments is included. Further changes may incur an additional editing fee.

6. File Access & Storage

Online galleries and download links remain active for 30 days from delivery. Please download and back up your images during this time.

RAW files are stored for six months following final delivery, after which they’re permanently deleted. Reuploading or retrieval after this period may incur a fee.

7. Image Selection & Archiving

If you receive a preview gallery or contact sheet, please make your image selections within 14 days.

If selections aren’t received within this timeframe, the shoot may be archived, and retrieval or editing after this period may incur an additional fee.

Responsibilities & Conduct

8. Client Responsibilities

Clients are responsible for their own safety, travel, parking, and any personal belongings during the shoot.

Please ensure all necessary permissions, models, or locations are arranged in advance unless otherwise agreed.

I’m not responsible for reimbursement of additional expenses such as travel, hotels, parking, meals, or fines incurred during the shoot.

9. Conduct & Safe Working

A respectful and professional environment is expected at all times during shoots.

I reserve the right to end a session immediately if I feel unsafe, disrespected or uncomfortable for any reason. In such cases, no refunds will be issued.

10. Disruption & Force Majeure

Sometimes shoots are affected by factors beyond our control, such as bad weather, illness, transport disruption or emergencies.

I’ll always do my best to adapt and deliver the best possible outcome.

If we’re unable to complete the shoot for reasons beyond either party’s control, we’ll agree to reschedule or, if that’s not possible, a refund will be issued for any services not yet delivered.

Image Usage, Licensing & Privacy

11. Copyright & Licensing

Unless otherwise agreed in writing, I (Hannah Lunn Photography) retain full copyright of all images produced.

Licensing and usage rights are agreed on a per-job basis, depending on how and where the images will be used. This will be discussed and confirmed before the shoot so you have the rights you need for your project.

Images must not be edited, filtered, or altered without permission. Unauthorised reproduction, resale, or distribution is not permitted and may result in legal action.

When sharing images online, please credit Hannah Lunn Photography where possible, it’s always appreciated.

12. Photographer Portfolio Use

I love to share images from my shoots on my website, portfolio and social media to showcase my work. I will only ever use your images with your consent.

For boudoir shoots, your privacy is guaranteed. Images from these sessions will never be shared publicly without your written permission.

Ownership and usage rights for all images remain with Hannah Lunn Photography until full payment has been received. If full payment is not made, I reserve the right to use, withhold, or publish the images.

13. Model & Talent Releases

Where applicable, clients are responsible for ensuring that all individuals featured in the shoot have given permission to be photographed and for their images to be used as agreed.

I can provide model or talent release forms if required.

14. Commercial & Collaborative Work

For commercial shoots involving stylists, makeup artists or other creatives, it’s the client’s responsibility to ensure all contributors understand and agree to the intended usage of the final images.

I’m always happy to collaborate and credit all team members involved in a project where details are provided.

15. Privacy & Data Protection

I collect and store personal information (such as your name, email and contact details) only for the purpose of managing your photoshoot and keeping in touch about your booking.

Your information will never be shared with third parties unless required by law. All data is stored securely in line with GDPR regulations.

You can request to view, amend, or delete your information at any time by contacting me directly.

Legal, Insurance & Governance

16. Insurance

I hold full public liability insurance for all shoots. Copies of my insurance documents can be provided on request.

17. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.
